Standard Terms and Conditions of Hire

Back Seat Memories Ltd (the Company) undertake to hire vehicle(s) to the client (the person booking and paying for the service) for the period of hire, under the following terms and conditions: Prospective clients may use this website to complete an online quotation request form, or make contact by telephone for a quick quote.  We will respond by email or by telephone as appropriate, giving a quote based on the information provided.  As required, we will negotiate and agree a price for he work the prospective client requests.  We will then agree a payment method (sending an email confirmation if requested).  Payment may be either;

1. A deposit paid within five days of making the booking, with the balance paid by cheque twenty one days prior to the work requested being undertaken.

2. A deposit paid within five days of making the booking, with the balance paid in cash as full settlement, fourteen days before the work is undertaken.

3. A deposit paid within five days of making the booking, with the balance paid by BACS transfer fourteen days before the work is undertaken.

4. A deposit paid within five days of making the booking, with the balance paid by Credit Card or Debit Card fourteen days before the work is undertaken the
following also apply;

5. All prices exclusive of UK VAT charged at 17.5%

6. Credit card payments subject to 3% surcharge. Debit card payments are net.

7. The charge on your credit card statement will be listed as Back Seat Memories.

8. Any variations to the agreed journey(s), booked and agreed to between the Company and Client may be subject to additional charges, if changes involve extra time and or distance being covered.

9. Should passengers soil or damage the interior of any Company vehicle, an additional charge may be made to cover cleaning and valeting, to reinstate the vehicle for subsequent use.

10. No hidden fees or extra charges will be payable upon completion of the work undertaken, except when additional waiting time and/or car parking charges have been incurred, which had not been identified and agreed in our quotation discussions.

11. We reserve the right to alter our charges without notice due to unforeseen circumstances, prior to any final payment being received.

12. We reserve the right to substitute any vehicle or chauffeur/driver.

13. When a vehicle is hired for two or more days, whilst every endeavour will be made for the hirer to retain the same vehicle, chauffeur/driver during such period, the Company reserve the right to substitute any vehicle, chauffeur/driver without notice.
14. The Company reserves the right to amend, change, delete or add to these terms and conditions whenever necessary and without notice.
Cancellation and Refund Policy

15. In the event of a ‘no show’ by the client, or if the booking is cancelled by the client in a period of less than twenty one days of the start of the hire, all monies paid or due, will be deemed non-refundable.

16. If a booking is cancelled by the client prior to the hire period, any deposits paid will be non refundable.

17. Any cancellation of a vehicle hired from our VIP fleet is reflected by their limited availability. Once we accept your deposit, we refuse any other offer that may conflict with the agreed arrangements, on your day.

18. Every effort will be made by the Company to ensure that the vehicle(s) arrive on time. The Company will not be held responsible or liable for any delays and/or consequential losses that occur.

19. The chauffeur will travel by the most appropriate route on the day unless instructed to do otherwise by the hirer (when term 8 may apply).

20. Although the vehicles are fully insured for passenger and third party claims under British Law, the customer’s property is carried entirely at their own risk and the Company will not be held responsible/liable for any loss or damage to
such property.

21. The Company and chauffeurs reserve the right to refuse to carry any passenger who is thought to be under the influence of alcohol or drugs, or whose behaviour is considered to be a threat to the chauffeur, any other passenger or vehicle.

22. The Company maintains a strict no smoking policy in all of its vehicles.

23. Nothing contained in these terms and conditions can affect the clients statutory rights.
